FreeExcel + Google Sheets

The dance fee tracker

A spreadsheet that tracks every fee beyond tuition for every dancer (costumes, recital, competitions, camps), payment plans included, and adds it all up into one balance per family. It’s what we’d use if we were running a studio on spreadsheets today.

  • FeesOne row per dancer, per fee: costumes, recital fee and tickets, competition entries, choreography, camps, privates, travel, dancewear. Amount, first due date, number of payments and months between them. Per-payment amount, final due date, next due date, balance and status fill themselves in.
  • PaymentsLog each payment against a fee ID: date, amount, method (Venmo, check, cash, card). The Fees tab totals them, so “paid so far” is never typed twice.
  • Family balanceOne line per family: dancers, total fees, paid, balance, how much is overdue and the next due date. Siblings roll up into one number.
  • ListsThe fee types and payment methods behind the dropdowns. Add your own, like “Nutcracker rehearsal fee” or “Team jacket”.

Comes with sample rows (two families, three dancers) so you can see the formulas work. Delete them and add your own. The XLSX opens in Excel, Numbers and Google Sheets (File → Import). There’s also a one-tab CSV for a quick start in Google Sheets.

When the spreadsheet gets too big

A tracker works for one class and one parent volunteer. Once you have families with two dancers, payment plans on every recital costume and a dozen events a year, it turns into a part-time job. That’s why we’re building Dance Dues: the same layout, with autopay and reminders built in.
